Privacy Statement
[With effect from 03 April 2026]
The Homoeopathic Quill Privacy Statement
1. Scope and purpose
This Privacy Statement explains how The Homoeopathic Quill / The Journal collects, uses, stores, and protects personal data obtained through its Open Journal Systems (OJS) website and editorial workflows. Personal data are processed solely to support the journal’s scholarly communication activities, including manuscript submission, peer review, publication, indexing, and long‑term preservation.
2. Data we collect
The Journal may collect the following categories of information when users interact with the journal site or editorial system:
Identification and contact details: Name, Institutional Affiliation, Country, Email Address, ORCID ID and other researcher identifiers provided by the user.
Account and profile data: Usernames, Roles (reader, author, reviewer, editor), Language Preferences, and Notification settings within OJS.
Manuscript‑related information: Authorship details, Acknowledgements, Funding information, Conflicts of interest statements, and other metadata submitted with manuscripts.
Technical and usage data: IP address, browser type, access dates, and limited log data generated by the hosting platform for security, performance, and analytics.
No special categories of personal data (such as sensitive health, biometric, or political information) are intentionally collected, and such data should not be submitted unless ethically justified and formally approved (for example, in clinical or case reports with documented consent and ethics approval).
3. Legal basis and uses of data
Personal data are processed on the basis of:
The user’s explicit consent at registration or submission.
The legitimate interest of the journal in managing a rigorous and transparent editorial and peer‑review process.
Compliance with applicable data protection laws, including the Indian Digital Personal Data Protection Act 2023 (DPDP Act) and GDPR where applicable to international users
The Journal uses personal data only for the following purposes:
Creating and administering user accounts and roles in OJS (reader, author, reviewer, editor).
Managing manuscript submission, peer review, editorial decisions, copyediting, production, and publication.
Communicating with authors, reviewers, editors, and readers about submissions, reviews, published content, journal news, and policy updates.
Generating anonymized statistics for reporting, indexing applications, and quality‑improvement activities.
Ensuring the security, integrity, and reliable operation of the journal website, including detection and prevention of technical or security incidents.
The Journal does not sell personal data or use it for unrelated commercial marketing.
4. Data visibility and sharing
Within the journal workflow, personal data are shared only to the extent necessary for editorial and publishing functions:
Editors and editorial staff can access data required to manage submissions and user accounts.
Reviewers may see author names and manuscript metadata, unless a blinded review model is used; authors may see reviewer identities only where open peer review is explicitly adopted.
Names and affiliations of authors, editors, and (where appropriate) reviewers may be published with articles and on the journal’s website as part of the scholarly record.
The Journal may share limited personal metadata with third‑party services strictly for indexing, archiving, and interoperability (for example, DOI registration agencies, indexing services, and long‑term preservation or metrics platforms) where this is necessary to register and disseminate published content. In such cases, only the data required to identify the article and its contributors are transmitted.
Personal data may also be disclosed if required by applicable law, court order, or regulatory authority, or to protect the rights, property, or safety of the journal, its users, or the public.
5. Cookies and analytics
The OJS platform may use cookies and similar technologies to:
Maintain user sessions and login status.
Remember language and interface preferences.
Collect aggregated, anonymized usage statistics (for example, page views, downloads, and referral sources) to improve the journal’s services.
Users can control cookie settings through their browser; disabling certain cookies may limit full functionality of the site.
6. Data retention
The Journal retains personal data only for as long as necessary to fulfil the purposes described in this statement and to maintain an accurate and trustworthy scholarly record.
Account and profile information are retained while the user maintains a relationship with the journal and may be kept longer where they are part of the documented editorial record (for example, editorial and reviewer histories attached to published articles).
Manuscript and peer‑review records, including associated personal data, are preserved as part of the editorial archive to support research integrity, auditability, and long‑term access to published content.
If a user requests account deactivation, The Journal will remove or anonymize profile data not required for the integrity of the published record, editorial audit trails, or compliance with legal obligations.
7. Data security
Reasonable technical and organizational measures are used to protect personal data against unauthorized access, alteration, disclosure, or destruction, taking into account the characteristics of the OJS platform and the journal’s hosting environment. These measures may include secure connections (HTTPS), access controls based on roles, regular software updates, and limited access to administrative interfaces.
No internet‑based service can guarantee absolute security; users are encouraged to keep passwords confidential and to use unique, strong credentials for their accounts.
8. User rights
Subject to applicable data‑protection laws, users may have the right to:
Access the personal data held about them in the journal system.
Request correction of inaccurate or incomplete information.
Request deletion or restriction of processing of certain personal data, where this does not conflict with legal obligations or the preservation of the scholarly record.
Withdraw consent for optional communications (such as alerts and announcements) without affecting core editorial communications that are necessary to manage submissions or reviews.
Requests related to these rights can be sent to the journal’s editorial office using the contact details [email protected] & [email protected]
9. Children’s data
The Journal is intended for use by adults engaged in scholarly activity and does not knowingly collect personal data from children. If the journal becomes aware that personal data from a minor have been submitted without appropriate consent, reasonable steps will be taken to delete or anonymize that data, consistent with maintaining the scholarly record and ethical requirements.
10. Changes to this statement
This Privacy Statement may be updated from time to time to reflect changes in legal requirements, data‑protection best practices, or the journal’s policies and technical environment. The “last updated” date will be posted at the top of this page, and continued use of the site after changes indicates acceptance of the revised statement.
